Migrate a Shared My Drive Folder to Shared Drive

 



Note Who This Folder is Shared With

1. Navigate to https://drive.google.com/drive/u/0/my-drive

2. Right-click on the folder in your My Drive that you wish to move.  In the example below, we are moving the "5.0 Information Technology" folder.

3. Click "Share"

5. Take Note of the top level sharing. This will be the people you add to the Shared Drive in a later step

6. Double-click the folder you are moving.  In this example, we are working with the "5.0 Information Technology" folder.

7. Right-click on the lower level folder, and notice that the sharing is different than from what you noted in an earlier step.

8. Click "Share"

9. Click Share.

10. Take note, this folder is shared with more people than the top level folder. Their permissions will move with the folder to the Shared Drive, and you do not have to add them to the Shared Drive members.

Create a New Shared Drive with Permissions

11. Navigate to https://drive.google.com/drive/u/0/shared-drives

12. Right Click on "Shared Drives," then Click "New shared drive…"

13. Enter the name of your new Shared Drive

14. Click "Create"

15. Now we add the top level sharing to the Shared Drive, from step 5.  All users in this step will have access to all sub-folders.

Click "Manage members"

16. Add the people noted from step number 5

17. Click on the name of the user you want to share with.

18. Assign them a role, and click "Share"

Finally, Move the Shared Folder to the Shared Drive

20. Right-click the folder you wish to move, in our example we are moving the "5.0 Information Technology" folder and all of it's sub-folders.

21. Select "Organize" and then Click "Move"

22. Click "All Locations"

23. Double-click "Shared drives"

24. Select the Shared Drive you just created. Click Move.

Tip: Verify the permissions on the lower level folders to ensure that nobody is missing.

Create a Shortcut to the Shared Folder in My Drive

26. Click "Shared drives"

Create the File Explorer Shortcut

32. Open Explorer and Click "This PC"

38. Congratulations! You have successfully migrated your shared folder to a shared drive.
